Glossary

Terms from the NDIS and Support at Home sectors, and the words you will see in Cura. For step-by-step help, see the guides or the FAQ.

Add Shift wizard
The full shift form in the Scheduler, with four steps: Basic Details, Billing, Travel & Payroll and Review. It checks compliance before you confirm. Compare Quick Add.

Administrator
The top role in Cura, usually the organisation owner. It can open every module and the owner-only settings, such as Integrations.

Aged Care Act
The law that sets the rules for aged care providers in Australia. Cura’s Compliance area helps you keep track of the obligations that come with it.

Approved
A shift status that means a manager has approved the delivered shift. Approval records the worker’s pay and the client’s bill, and the billable line moves to Shift Billing.

AT-HM
Assistive Technology and Home Modifications, a separate funding pathway within Support at Home for equipment and changes to the home.

Audit log
The record of who accessed which data and documents. It is under Compliance, entries are written automatically, and nobody can edit or delete them.

Awaiting approval
The state of a shift that has been marked Delivered but not yet approved by a manager. Nothing is paid or billed until it is approved.

Award classification
A worker’s classification under the award that sets their pay. A worker needs one on file before you can approve a shift that falls in a penalty band.

Brokered service
A service delivered by an outside supplier instead of your own workers. In Cura you record it as a supplier invoice, and it draws on the participant’s budget.

Care management
The coordination work done for a Support at Home participant. Cura sets aside 10% of each quarterly budget for it.

Care Management Pool
A read-only page showing the 10% care management deduction from every participant’s quarterly budget, added together. You change a deduction on the participant’s budget, not on this page.

Carryover
Unspent budget that moves into the next Support at Home quarter. Cura shows the cap as the greater of 10% and $1,000, and Services Australia confirms the final figure.

Claim batch
A group of NDIS claim lines packed into one file for upload to the NDIS portal. A batch moves from Ready to lodge, to Lodged, to Results imported.

Classification
A Support at Home participant’s funding level: Ongoing levels 1 to 8, or Transitioned HCP levels 1 to 4. It sets the quarterly budget amount.

Client statement
A monthly statement for each Support at Home participant. It shows what they were charged, what the subsidy covered and who holds the unspent money.

Coming soon
The holding page you see when you open a module that is not switched on for your site. Nothing is broken. Use Back to Dashboard to carry on.

Completion link
A secure link sent to a worker after a shift. They use it on their phone to confirm the real finish time, add kilometres, expenses and a progress note, and send it to the manager for approval.

Contribution tier
A Support at Home participant’s category for contribution purposes: Grandfathered, Transitional or New Entrant. It is recorded when you enrol them.

Credential
A worker’s licence, check or certificate, such as a Working with Children Check, NDIS Worker Screening or First Aid certificate. Credentials can be verified, can expire and can block rostering.

Delivered
A shift status that means the service has taken place. A delivered shift waits for manager approval before anything is paid or billed.

Draft shift
A shift that is saved but not confirmed. It does not count against the client’s budget and is not billable.

DVA
The Department of Veterans’ Affairs. DVA clients have a file number made of one to three letters followed by one to seven digits, for example VX1234.

Exceptions
The queue of anomalies that need a person to resolve them. It holds Support at Home items, such as an unmatched payment or a negative balance, and rejected NDIS claim lines. Each item has an owner and a recorded resolution.

Forms to Review
The queue where submitted forms wait for checking. Answers are held back until an administrator reviews them field by field and applies the decisions.

Funding stream
The funding source for a client or shift: NDIS, DVA, Aged Care or Private. It decides how the shift is priced and billed.

Held back
A line in Ready to bill that cannot be billed yet because something is missing, such as a client with no NDIS number or a service date in the future.

Indexation
The yearly update to Support at Home funding amounts on 1 July. It changes the dollar figures. It is not a change to the date the program began.

Interim funding
A Support at Home funding status, shown as Interim or Full on the participant. Interim is a temporary level of funding before the full classification is in place.

Lodged
A claim batch status that means you have uploaded the file to the NDIS portal and recorded the payment request reference in Cura.

Minimum engagement
The shortest period a worker must be paid for a shift under the SCHADS award. Cura warns you when a shift is shorter, and the warning does not stop you confirming it.

Modified Monash Category
A rating from 1 to 7 of how remote a location is. Participants in categories 6 and 7 may be eligible for the remote supplement.

My Aged Care ID
The identifier a Support at Home participant has in the My Aged Care system. Cura requires it to enrol a participant.

myplace
The NDIS provider portal where you upload claim files and download payment results. Cura builds the file, but you lodge it yourself.

NDIA
The National Disability Insurance Agency, the government agency that runs the NDIS.

NDIS
The National Disability Insurance Scheme, which funds supports for people with disability. Participants are identified by a 9 digit NDIS number.

Needs attention
A button on the Scheduler calendar that lists shifts this week with no worker assigned, and unresolved scheduling conflicts.

Not billable
A warning on a shift’s billing block. It appears when no rate can be found for the service, or the shift is a draft. A shift that is merely scheduled reads Not yet billable.

Notice period
The warning time a client must give to cancel a shift without a fee. Cura’s Cancel form works it out as two business days for disability services and seven days otherwise, and you can change the answer if you give a reason.

Onboarding pack
The set of forms and credentials a new worker (or an NDIS, DVA or Private client) is asked to provide. Aged Care clients use the Support at Home enrolment instead.

Participant
A person receiving services funded by the NDIS or Support at Home.

Participant contribution
The share of a Support at Home service cost that the participant pays themselves. The clinical rate is always 0%, and hardship or grandfathered flags can waive contributions.

Payment ID
The Services Australia reference for a payment. You enter it when you mark a Support at Home claim as paid.

Payment request reference
The reference you enter on a claim batch after uploading it to the NDIS portal, when you click Mark as lodged.

Payroll run
A set of approved shifts gathered for one pay period. It lists each worker’s hours, gross pay, super and reimbursements, and can be exported for Xero.

Penalty rates
Higher pay rates for work on a Saturday, Sunday, weekday evening, weekday night or public holiday. Cura uses the time a shift was actually delivered.

Period lock
The step in Support at Home reconciliation that closes a month so its figures stop changing. Months are locked in order and a locked month is not reopened.

Plan management type
Who manages an NDIS participant’s funds: the NDIA (agency managed), a plan manager, or the participant (self managed). Cura uses it to decide how a line is billed.

Price guide
The published list of maximum prices for supports. Cura shows the price limit on the Billing step of the Add Shift wizard and refuses a rate above it.

Price plan
A set of service rates in Invoicing, with optional after-hours, weekend and public holiday rates and an optional government price cap. Plans can be imported from a file or archived.

PRODA
The government online sign-in used to reach the NDIS portal. You need it to upload a claim file.

Program of Support
An NDIS arrangement for individual or group services that runs for up to 6 months, with reviews every 12 weeks. You manage them on the Programs tab of the Scheduler.

Provider Admin
The role for office staff who run day-to-day operations. It covers clients, workers, scheduling, invoicing, quality, reports and most settings, but not the owner-only settings.

Provider travel
Travel a provider charges for when going to a participant. In Cura it is billed as kilometres times a rate, and the rate cannot exceed the NDIS maximum.

QFR
Quarterly Financial Report. The QFR tab in Reports is built from your Support at Home quarterly budgets.

Quarterly budget
A Support at Home participant’s budget for one calendar quarter, based on their classification. It includes supplements and carryover, and has 10% set aside for care management.

Quick Add
The fast way to put a simple shift on the Scheduler calendar, without billing detail. Compare Add Shift wizard.

Ready to bill
The section of the Shift Billing tab that groups approved shifts by billing route, such as NDIS agency managed or Support at Home.

Reconciliation
The monthly close-off for Support at Home. You run the monthly steps, import the Services Australia response and lock the month.

Recurring shift
A shift set to repeat daily, weekly, fortnightly or monthly. You can skip dates, pause the pattern or end it.

Required document
A form or credential your organisation requires. For workers, items marked Blocks roster must be verified before the worker can be rostered.

Role
The level of access your login has. Cura has three: Administrator, Provider Admin and Staff Member.

Rosterable
A worker who can be put on the roster, because every roster-blocking credential is verified and current. The opposite is Not rosterable.

SCHADS award
The award that covers pay and conditions for many community and disability support workers. Cura’s minimum engagement warning refers to it.

Schedule of supports
An NDIS client’s record of their support categories and line items, with the amount allocated to each and the funding periods.

Scheduled
A shift status that means the shift is confirmed and on the calendar. It counts against the client’s budget.

Send back to worker
An approval action that returns a shift to the worker with a reason. The worker gets a new link, and nothing is paid or billed until they resubmit.

Services Australia
The government agency that holds all unspent Support at Home subsidy and pays providers in arrears for the services they deliver.

Shift Billing
A tab in Invoicing that lists billing lines from approved shifts. Generate Claims turns them into claims or invoices.

SIL
Supported Independent Living, an NDIS support for people who live in shared accommodation. The SIL Houses tab in the Scheduler holds each house’s roster and can export a roster of care.

SIRS
The Serious Incident Response Scheme, which requires certain incidents to be reported within set deadlines. Tick SIRS Reportable when you record an incident.

Soon badge
A small label in the sidebar that shows a module is not switched on for your site yet.

Staff Member
The role for support workers and field staff. They see their own dashboard, schedule, timesheets, forms and account, but not other people’s records or admin modules.

Supplement
Extra funding added to a Support at Home budget for a specific need, such as Dementia and Cognition, Oxygen or Remote at Home.

Support at Home
The Australian Government’s in-home aged care program, which began on 1 November 2025. It replaced Home Care Packages and Short-Term Restorative Care.

Support category
A group of NDIS supports, such as core supports, used to organise a participant’s plan funding. Programs of Support and plan allocations are set against one.

Support item
A single NDIS line that can be claimed, identified by an item number and a price limit. Cura fills it in automatically on the Billing step when it can.

Support ratio
The number of workers to participants on a shift, such as 1:1 or 1:2. A shared ratio splits billing between the participants.

Timesheet
A record of the hours a worker has worked in a pay period. It is Pending, Approved or Rejected. Shift approval for the week also happens under Timesheets.

Unmatched payment
A payment result that matches no participant, or where Services Australia determined a different amount from the one you claimed. It lands in the Exceptions queue.

Verify
The step where a staff member checks a submitted credential against the document or the issuing register. Verification, not submission, clears the roster gate.

Waiting on worker
A list of shifts you sent back to the worker. It covers the whole organisation, not just the current week, so older items stay visible.

Write off
An action on a rejected claim line that removes it from the queue. You must give a reason of at least 10 characters, and it is recorded in the audit log.
