Clients

The Clients area is where you keep every client’s record: personal details, funding, documents, goals and day-to-day notes. You add new clients through a guided wizard that adapts to how the client is funded (Aged Care, NDIS, DVA or Private). Everything about a client afterwards lives on their profile page.

  1. Click Clients in the sidebar. The page heading reads Clients.
  2. Type part of the client’s name into the search box (Search clients by name…).
  3. To narrow further, use the filter dropdowns: client type (All Types, NDIS, Aged Care, DVA, Private) and status (All Statuses, Active, Inactive, Pending, Suspended).
  4. Click Clear Filters to start again.
  5. Click a client’s row to open their profile. To export the list, apply your filters and click Export.

The cards above the list (Total Clients, NDIS, Aged Care, DVA, Private) show how many clients you have of each type. NDIS clients also show their NDIS number in the ID No column.

  1. Click Clients in the sidebar, then Add Client. Use Next → and ← Back to move between steps. The steps after Personal Details depend on the type.
  2. Client Type: pick Aged Care, NDIS, DVA or Private.
  3. Personal Details (the same for every type): First Name and Last Name (required), Email and Phone (at least one is required), Date of Birth (required), Gender, Address, Preferred Language, Communication Preference, the Emergency Contact, and Privacy consent given (Privacy Act 1988). If you came from a lead, its name and email are already filled in.
  4. Then the steps for the type:
    • Aged Care (SAH Details, then Contributions): enter the My Aged Care ID (required), Classification Type (Ongoing or Transitioned HCP) and Classification Level. Set Funding Status, Pension Status, Contribution Tier and Entry Date. On Contributions the Clinical Rate is fixed at 0%. Enter the Independence Rate (%) and Everyday Living Rate (%). Tick Financial Hardship Flag or Grandfathered No-ITCF to waive contributions.
    • NDIS (NDIS Details, then Plan & Supports): enter the NDIS Participant Number (9 digits), Plan Start Date and Plan End Date. A plan review reminder is created 60 days before the plan ends. If the number already belongs to another client, a warning appears under the field. On Plan & Supports, choose Funding Periods (Quarterly, Half-yearly, Annual or + Add Period). Click + Add Support Category and set each Management Type: Self-managed, Plan-managed or NDIA-managed. Plan-managed categories ask for a Plan Manager, self-managed ones for a Self-managed Bill-To. To record the schedule of supports, click + Add Line Item, pick the category, search the price guide by item number or name, and enter the Total Amount ($). If your organisation has its own rate that differs, you see both rates. This step is optional: click Skip - add supports later to add them from the profile.
    • DVA (DVA Details): enter the DVA File Number (1 to 3 letters then 1 to 7 digits, such as VX1234) and the Card Colour (Gold, White or Orange). A White card needs Accepted Conditions. Orange shows a warning: confirm eligibility with DVA. Add at least one authorisation with a Type, Start Date and End Date.
    • Private (Private Details): pick services from your catalogue or + Add Custom Service. Under Billing & Payment, choose who pays (Client themselves, A family member or Third party) and the Preferred Payment Method. Set the Referral Source.
  5. Review & Submit: check the summary. Anything missing is listed in an amber banner and flagged on the profile for later. NDIS clients also see a Required-documents checklist.
  6. Click the create button: Create Client & SAH Record, Create Client & NDIS Record, Create Client & DVA Record or Create Client & Private Record.
