Your first week

Cura works best when the reference data is in place before the first shift is booked. This is the order we recommend. Each step links to the guide that walks through it.

Day 1: the organisation and the people who run it

Section titled “Day 1: the organisation and the people who run it”
  1. Organisation profile. Check the name, ABN, address and contact details on Settings > Organization Profile. These appear on invoices and statements. Settings guide.
  2. Invite the office team. On Settings > Team, invite each coordinator and finance person and give them the Provider Admin role. Give the Administrator role only to the people who should change billing, security and roles. Who sees what.
  3. Funding and registration. Record which funding sources your organisation is registered for on Settings > Funding. This decides which options appear when you add clients and book shifts.
  1. Services catalogue. Add every billable service you deliver on Settings > Services, with its rate. Shifts, invoices and claims all pick from this list.
  2. Pricing. On Settings > Pricing, choose the NDIS support items you bill for and map your services to them. If you deliver Support at Home, import the government price guide and set up your price plans. Invoicing guide.
  3. Travel rates. Set the per-kilometre rate for each vehicle type so travel on shifts is costed automatically.
  1. Worker requirements. On Settings > Worker Requirements, list the credentials a worker must hold before they can be rostered (screening checks, first aid, and so on). Workers guide.
  2. Required documents for clients. On Settings > Onboarding, set the document packs and required documents for each funding source. Clients guide.
  3. Forms. Build or import the forms your staff fill in, such as progress notes or incident forms. Forms guide.
  1. Add each worker, then send their onboarding link. They upload their credentials from their phone; you verify each one. A worker shows as rosterable once everything required is verified.
  2. Set each worker’s award classification and vehicle type on their profile so payroll previews and travel rates resolve on every shift.
  1. Add clients through the wizard. Choose the right funding source the first time: it drives everything downstream.
  2. Send the onboarding pack by email, or complete it manually for clients who prefer paper.
  3. For Support at Home participants, build and activate the first quarterly budget. Support at Home guide.
  • Monday: roster the week in the Scheduler. Use recurring patterns for standing bookings.
  • Daily: workers complete their shifts; coordinators watch the Needs attention panel and the compliance alerts.
  • Friday or Monday: approve the week’s shifts in Timesheets. Only approved shifts reach billing and pay.
  • Fortnightly or monthly: run payroll, raise invoices, generate the NDIS claim file, and lodge Support at Home claims.
  • Monthly: issue Support at Home statements and reconcile the Services Australia allocation.
  • Quarterly: run the QFR from Reports.

Bring clients and workers across first, then reference data, then open shifts. Do not try to reproduce old shift history in Cura; keep it in the old system for reference and start clean from an agreed date. Contact support before a migration and we will help you plan it.
